The Communications Department of the National Office in New York City is seeking a full-time Communications Assistant.

OVERVIEW
The Communications Assistant is responsible for performing administrative duties for the Communications Department and assisting the Chief Communications Officer. The position reports to the Chief Communications Officer and works under the supervision of the Communications Associate.


ROLES AND RESPONSIBILITIES
• Schedule meetings and conference calls, prepare relevant materials, and handle meeting logistics
• Coordinate travel arrangements
• Submit Communications department invoices to Finance department for processing
• Assist with permission requests, and work with staff in General Counsel’s office to finalize the requests
• Maintain professional and user-friendly electronic and paper office filing systems
• Maintain and update departmental organizational chart and assist with updating the Communications section of the intranet
• Provide assistance and support for presentations and distribution of materials for conferences, trainings, and other events including power point development
• Collaborate as necessary with digital team, strategists, and other communications staff
• Set up work stations for new hires and consultants.
• Maintain Communications department onboarding manual
• Work jointly with interns and communicate routine and/or procedural guidance on projects assigned by managers
• Pick up, sort and distribute mail, draft correspondence and other documents
• Conduct Internet and photo research
• Demonstrate a commitment to diversity within the office using a personal approach that values all individuals and respects differences in regards to race, ethnicity, age, gender identity and expression, sexual orientation, religion, ability and socio-economic circumstance
• Commit to work collaboratively and respectfully toward resolving obstacles and/or conflicts
• Perform other duties as assigned


EXPERIENCE AND QUALIFICATIONS
• Bachelor’s Degree or 1-2 years of work experience preferred
• Must be self-motivated, take initiative and possess excellent organizational and time management skills
• Must possess the ability to maintain a high level of accuracy and attention to detail within a fast-paced environment
• Strong communication skills including excellent telephone manner; strong interpersonal skills
• Experience with scheduling meetings and appointments
• Excellent writing and proofreading skills
• Ability to work independently as well as within in a team while maintaining a high level of efficiency and professionalism
• Proficient in Microsoft Office Suite (e.g. Outlook, Word, Power Point and Excel) and have experience with Internet research
• Ability and willingness to learn other computer programs and applications
• Demonstrated commitment to the mission of the ACLU


COMPENSATION
Salary for this position $61,040. We also offer excellent benefits package provided.
