The Affiliate Support and Nationwide Initiatives Department (ASNI) builds state capacity and strengthens and maintains the connections between the ACLU and its network of 54 state affiliates and the 1,500 staff who work out of the state offices. Their work constitutes an unparalleled bulwark in the defending and advancing of civil liberties and civil rights. The Department staff lead efforts to share knowledge, talent, and skill across the organization, building the next generation of civil rights leaders and positioning the organization for future challenges.


POSITION OVERVIEW
The Administrative Assistant is an integral part of the Affiliate Support and Nationwide Initiatives Department, which is committed to providing operational support, organization, collaboration, customer service, leadership, equity and knowledge sharing to ACLU national and affiliate staff. The role will provide administrative and clerical support to the ASNI’s Operations team; and reports to the Director of ASNI Operations.


ROLES AND RESPONSIBILITIES
• Process and track all department invoices, expenses and payments; process expense reimbursements using SAP Concur
• Support the administration and tracking of all grants to affiliates
• Handle all incoming and outgoing mail and packages; order and maintain department office supply inventory
• Schedule meetings and coordinate video/phone conference technology; provide support during staff meetings and ACLU events, including room setup, welcoming visitors, assisting with on-site registration, preparing and printing materials
• Set up and maintain hard copy and electronic files of all department documents
• Maintain a readily available list of resources (i.e. whom to contact at National, shared resource logins, vendor lists, etc.)
• Maintain and update all department listservs; keep an updated database of affiliate offices and points of contact
• Act as liaison between ASNI, affiliate staff and national colleagues communicate clearly and effectively both verbally and in writing
• Contribute content ,as requested, for sharing information on internal platforms
• Demonstrate a commitment to diversity within the office using a personal approach that values all individuals and respects differences in regards to race, ethnicity, age, gender identity and expression, sexual orientation, religion, ability and socio-economic circumstance
• Commit to work collaboratively and respectfully toward resolving obstacles and/or conflicts
• Other duties as assigned


EXPERIENCE AND QUALIFICATIONS
• Two (2) years of related experience, preferred
• Excellent communication and interpersonal skills, professional telephone manner and attention to detail
• Must possess strong organizational skills and the ability to multitask and meet deadlines
• Must be able to work both independently as well as within a team
• Proficiency in Microsoft Office Suite i.e. Word, Excel, PowerPoint, Outlook and other Windows applications
• Commitment to the mission of the ACLU


COMPENSATION
Salary for this position is $61,040. Excellent benefits package provided.
